The one question that tells you if you're ready for AI agents

Most people assume they're not ready for AI agents because they're not
technical. That's not the real barrier.

We had a conversation last week with a founder who runs a lean team. Smart
operator. Deliberately avoided process bloat. When we showed him what our agents
could do, his reaction was honest: "Intriguing, but I don't have enough
repetitive processes for this to help."

He was right. And that's the thing worth paying attention to.

Agents don't create structure. They execute it.

The question isn't "am I technical enough?" It's: do you have work your team is
already doing on repeat?

Not work you could systematize someday. Work someone is actually grinding
through every week, right now, because it has to get done.

Here's what that looks like in practice:

  • A 5-person nonprofit loses their director of operations. Before she left, she
    ran two recurring workflows: a weekly newsletter pulling from event listings
    and board updates, and a monthly committee brief summarizing artist
    applications. Both tasks had a clear trigger, a clear output, and happened on
    a fixed schedule. Those are exactly the conditions agents thrive in. They
    built two agents and didn't backfill the role.

  • A two-person construction estimating startup needed inbound leads but had no
    content team. They were already tracking which keywords mattered using Google
    Search Console and Ahrefs. That research was happening manually, repeatedly,
    and going nowhere. They plugged an agent into those same tools and had it
    publish keyword-targeted posts every few days. 30,000 impressions in the first
    week.

  • A 20-person marketing agency kept losing deals they'd already won. Their
    salespeople were generating leads for clients, but clients weren't following
    up fast enough. Someone on the team was manually checking CRM data every few
    days to catch it. That's repetitive, time-consuming, and easy to miss. They
    built an agent to flag any client who hadn't called a lead within 48 hours,
    automatically, via Slack.

In each case, the work was already there. The team already had a real process,
and the agent stepped in to handle the repetitive part.

What goes wrong when you skip the question

When teams try to use agents on work that isn't well-defined yet, the agent
doesn't fail dramatically. It just produces output that's slightly off, every
time, in ways that are hard to pin down. You spend more time reviewing and
correcting than you would have just doing the task yourself. The agent looks
busy but isn't actually helping.

The root cause is almost always the same: the work wasn't repeatable to begin
with. There was no consistent input, no agreed output, and no clear trigger. The
agent is improvising around a process that doesn't really exist yet.

So that's the real question: is there work your team is already doing the same
way, over and over again?

If there is, you're probably ready. An agent can take that work off the pile.

If there isn't, that's useful too. Define the process first. Run it manually a
few times until you know what good output looks like. Then hand it off.

That's usually the hard part. The technology gets much simpler once the work
itself is clear.
